# Webinar vs Virtual Conference: What Is the Difference and Which Do You Need?

A webinar is a live online session, or a series of them, where one or a few speakers present to a registered audience. A virtual conference is one event with many sessions under one agenda, often in parallel tracks. Choose a conference when you need three or more talks a day or sessions running at the same time.

## Key points

- In Zoom Webinars only hosts and panelists present; attendees join view-only and in listen-only mode.
- Zoom Events, the multi-session plan, costs USD 124.17 a month billed annually, against USD 66.67 for Zoom Webinars (checked 15 October 2026).
- Microsoft Teams uses webinar settings for interactive events of up to 1,000 attendees and town hall settings for broadcast-style events of up to 100,000.
- With Amphi, Premium Webinar costs EUR 375 a month for up to 12 episodes a year, and Premium Conference EUR 1,050 per conference, both excl. VAT.
- On Amphi, every event is created as either a webinar or a conference, and the choice cannot be changed later.

## What is the difference between a webinar and a virtual conference?

A webinar is a single live online session, or a recurring series of them, in which one or a few speakers present and viewers send questions and comments. A virtual conference is an online event that runs a programme of many sessions and speakers under one agenda and one registration, often in parallel tracks and over several days.

The dictionary definition is narrow. Merriam-Webster defines a webinar as "a live online educational presentation during which participating viewers can submit questions and comments".

Vendors draw the line by the number of sessions. In Zoom's comparison of event types, only the multi-session event supports multiple sessions, concurrent sessions and multi-day events. Zoom describes it as a way to "use meetings and webinars to run a multi-day event that contains multiple tracks and multiple sessions". A virtual conference is a container for many webinar-like sessions, plus the agenda and speaker pages that connect them.

Microsoft frames both as events: "structured communications to larger audiences, where organizers, co-organizers, and presenters have defined roles." So the question becomes how many sessions the event has and how they relate. If you are still choosing between video-call tools, webinar tools and conference platforms, our platform guide compares the [three types of event platforms](https://www.amphi.cc/en/blog/how-to-choose-conference-platform).

## How do webinars and virtual conferences compare on sessions, tracks, speakers and duration?

The two formats differ on nine practical points, and the number of talks per day and parallel tracks decide most cases. The table pairs each difference with a published limit from Zoom or Amphi. External prices and limits checked 15 October 2026; Amphi prices excl. VAT.

| Criterion | Webinar | Virtual conference | Published example |
| --- | --- | --- | --- |
| Programme | one session, or a recurring series of sessions | many sessions under one agenda | Zoom: single-session vs multi-session events |
| Talks per day | one broadcast at a time | several, in sequence or in parallel | Amphi: 2 per day on Premium Webinar, unlimited on Premium Conference |
| Parallel tracks | none | common | Zoom Events: up to 15 simultaneous tracks; Amphi: 1 location per webinar, unlimited per Premium Conference |
| Speakers | host and a few panelists | many, each with a profile and talk page | Zoom Webinars: only hosts and panelists present |
| Duration (days) | one session; a series repeats over months | one to several days | Amphi conference: max 30 calendar days between first and last talk day |
| Interaction | questions to presenters, attendees view-only | questions per session, chat and networking between sessions | Zoom Events: "multi-session virtual events with networking" |
| Registration | per session or per series | once for the whole programme | Zoom Webinars: built-in registration with custom fields |
| Recordings | one recording per session | an archive of all sessions | Amphi: recordings and materials can stay available in archive mode |
| Cost model | monthly licence or per attendee | per event, per year, or a multi-session plan | Zoom: USD 66.67 vs USD 124.17 per month billed annually |

A practical rule: if two or more rows land in the right-hand column for your programme, plan a conference. If only the audience size is large, a webinar with a bigger capacity tier is usually enough, because capacity is a licence setting, not a format.

## How does audience interaction differ between a webinar and a virtual conference?

Webinar interaction runs one way with a back channel: attendees watch and send questions to the presenters. A virtual conference adds interaction around each session and between attendees, because people move between talks and need to find each other.

Zoom's comparison of meeting and webinar licences states it plainly: "Only hosts and panelists can present, and attendees are view-only." Attendees join in listen-only mode, and the participant list is visible to hosts and panelists only. Zoom Webinars lists Q&A and polling for that back channel.

Audience size changes interaction more than the format label. Microsoft says interactive Teams events of up to 1,000 attendees use webinar policy settings, while events for up to 100,000 use town hall settings, described as "a more controlled, broadcast-style experience". For scale, ON24's 2026 benchmark report, a vendor study, puts average webinar attendance at 239 in 2025, with 67% of attendees joining live.

A conference needs interaction tied to the programme. Zoom's Events plan adds attendee networking to multi-session events. On Amphi, each session has its own chat, and attendees tag themselves with prepared tags through that chat, so the organiser can later email or export one interest segment. Amphi's audience interaction is built on chat and self-tagging, not polls; if you need polls, run them in the stream tool you embed.

## How do registration and recordings work in each format?

A webinar usually registers people for one session or one series and sends them one link. A virtual conference registers people once and gives them an event page with the full agenda, where they choose sessions and later find the recordings.

Webinar tools build registration into each broadcast. Zoom Webinars includes "built-in registration with custom fields and branding". Zoom's lightest single-session event type shows the limit of that model: "a minimalistic attendee experience that does not have a lobby, event detail page, moderation, ticketing". For one talk, that is enough. For twenty talks, attendees need the event page.

Plan for registrants who do not come. ON24's 2026 report puts the average registration-to-attendee conversion at 60%. Check whether your platform counts registrants or attendees against its limit.

Recordings follow the same split: one recording per webinar, dozens per conference, useful only when organised by track and speaker. On Amphi, the event's public page stays online in archive mode, and recordings and materials can stay available; switching to archive is irreversible, and the Free plan has no archive mode. Amphi streams and hosts video itself on its Premium plans, and also embeds players from YouTube, Vimeo, Teams, Zoom, Google Meet or any iframe. ## How much does a webinar cost compared with a virtual conference?

A webinar is usually priced per month or per attendee, while a virtual conference is priced per event, per year or through a more expensive multi-session plan. On Zoom, the multi-session Events plan costs USD 124.17 a month billed annually, against USD 66.67 for Webinars.

Compare the two formats over a year, not per event. A monthly webinar series runs all year, so its licence does too: on Amphi, each successful renewal extends the Premium Webinar licence by one month. A conference is paid once, and the annual bundle of up to 50 conferences exists for Premium Conference only. Both Amphi formats can start on the Free plan for up to 100 attendees. ## When should you host a webinar and when a virtual conference?

Host a webinar when one or two speakers cover one topic for one audience, especially on a recurring schedule. Host a virtual conference when the programme needs several talks a day, parallel tracks or one event page that holds many speakers and their recordings.

Work through five questions in order. The first answer that points to a conference settles it.

1. **How many talks per day?** One or two: webinar. Three or more: conference. On Amphi, a Premium Webinar day allows at most 2 talks; more talks per day than the plan allows needs Enterprise.
2. **Do any sessions run at the same time?** If yes, choose a conference. On Zoom, concurrent sessions are a multi-session event feature, and on Amphi parallel talks need several locations, which only a conference has.
3. **One-off or recurring?** A monthly or quarterly series for the same audience is a webinar series. A programme that happens within days or weeks is a conference; on Amphi it must fit within 30 calendar days.
4. **How many people, and how interactive?** Up to 1,000 interactive attendees fit a Teams webinar. Above that, plan for broadcast-style viewing with moderated questions in either format.
5. **Does the content need a shared archive?** If recordings must stay together by track and speaker after the event, a conference page with an archive keeps them findable.

Two Amphi customers show the split. ICZ runs internal webinars and training on Amphi Enterprise and has delivered dozens of events. ParCFD 2021 ran 100% online on Premium Conference. If your programme is employee training, the [guide to internal webinars and online training](https://www.amphi.cc/en/blog/internal-webinars-online-training) covers formats, access and measurement.

## Can you turn a webinar into a conference later on Amphi?

No. On Amphi, every event is created as either a webinar or a conference, and the guides state that "this choice cannot be changed later". Decide the format before you build the agenda.

Amphi defines the two types by programme shape. A webinar is "a recurring series", with several talk days a year, each with several talks. A conference is "one large event. It can be spread across several days".

| Limit on Amphi | Webinar | Conference |
| --- | --- | --- |
| Talks per day | 2 | unlimited |
| Locations (parallel talks) | 1 | unlimited on Premium; 100 on Free |
| Paid licence (EUR, excl. VAT) | 375 per month, extended by each monthly renewal | 1,050 per conference, or 4,150 per year for up to 50 |
| Attendees included | 100 on Free; 180 on Premium Webinar | 100 on Free; 1,000 per Premium Conference |
| Time limit | 12 episodes a year on Premium Webinar | 30 calendar days between first and last talk day; space stays active 365 days after |

Plan changes are limited too. You cannot move from Premium Webinar to Premium Conference by paying the difference; the guides allow a change only from the Free plan, by paying the full conference price. If a payment fails, the event enters archive mode that day. More than 12 webinar episodes a year needs a new event. Every event starts on the Free plan, so the type you pick there is the type you keep.

Zoom is more flexible here: it converts a scheduled meeting into a webinar and transfers its registrants, although a recurring meeting cannot be converted. The full rules are in [Amphi's guide to plans and event types](https://www.amphi.cc/en/features/guides).

## Frequently asked questions

### Is a webinar a type of virtual event?

Yes. Microsoft Teams treats webinars and town halls as event types, and Zoom treats a webinar as a single-session event. A virtual conference is a multi-session event: many sessions, often parallel tracks, under one agenda and one registration.

### How many people can attend a webinar?

It depends on the licence. Zoom's support pages list up to 1 million view-only webinar attendees, depending on capacity purchased. Teams webinar settings cover interactive events of up to 1,000. ON24's vendor benchmark puts average webinar attendance at 239 in 2025.

### Can a webinar have multiple speakers?

Yes. In Zoom Webinars, hosts and panelists present while attendees stay view-only. On Amphi, Premium Webinar has no speaker limit but allows at most 2 talks a day; more talks a day need the conference format or Enterprise.

### Is a virtual conference more expensive than a webinar?

Per month, usually yes: Zoom Events costs USD 124.17 against USD 66.67 for Zoom Webinars, billed annually. Per year it can be the reverse: with Amphi, one conference costs EUR 1,050, while 12 months of Premium Webinar cost EUR 4,500 (calculated), excl. VAT.

### Can I run a webinar series as a conference?

Only if the series is short. On Amphi, a conference must keep its first and last talk day within 30 calendar days, so a series spread over months belongs in the webinar format, which allows 12 episodes a year on Premium Webinar.
