# How Much Does a Webinar Cost? A Line-by-Line Breakdown

A webinar can cost nothing in platform fees on a free plan for up to 100 attendees; paid plans list at USD 66.67 a month on Zoom Webinars (billed annually) and EUR 375 a month on Amphi Premium Webinar. Internally, staff time costs more: one hour of 150 employees is EUR 5,235 at the EU average labour cost (calculated).

## Key points

- Amphi Free covers up to 100 attendees; Premium Webinar costs EUR 375 a month excl. VAT for 180, plus EUR 0.10 per extra attendee.
- Live captions cost USD 36 to 150 per 60-minute webinar at 3Play Media list prices (calculated).
- At the 2025 EU average labour cost of EUR 34.9 an hour, one hour of 150 employees costs EUR 5,235 (calculated).
- New LinkedIn Ads campaigns need at least USD 10 a day and USD 100 in lifetime budget.
- In ON24's 2025 benchmarks for technology and manufacturing, 51% to 53% of webinar registrants attended.

## What does a webinar cost, line by line?

A webinar costs the sum of six lines: the platform, the streaming tool, production, captions, the speaker and promotion, plus the working time of attendees when the webinar is internal. A webinar is a scheduled online session in which a few speakers present to a registered audience.

Published estimates usually count only some of these lines. External prices checked 15 October 2026; Amphi prices excl. VAT.

## How much does the webinar platform cost, and when is a free plan enough?

A webinar platform costs from nothing to a few hundred euros a month, and the attendee limit matters more than the headline price. Zoom lists its Webinars plan at USD 89.00 a month billed monthly or USD 66.67 a month billed annually, and says webinar subscriptions are priced by attendee capacity. For a vendor-by-vendor comparison, see [how to choose a conference platform](https://www.amphi.cc/en/blog/how-to-choose-conference-platform).

Amphi's two webinar plans (checked 15 October 2026, excl. VAT):

| Limit | Free | Premium Webinar |
| --- | --- | --- |
| Price | EUR 0 | EUR 375 per month, licence valid 1 month from payment |
| Attendees included | 100 | 180, then EUR 0.10 per extra attendee |
| Webinar episodes per year | unlimited | 12 |
| Talks per day | 2 | 2 |
| Locations | 1 | 1 |
| Custom domain, archive mode | no | yes |
| Event file storage (GB) | 1 | 100 |
| Support | community | email |

The counting rule is the hidden cost. Amphi counts every registered user who is not blocked, whether or not they attend. ON24's 2025 benchmarks for technology and manufacturing webinars put registrant-to-attendee conversion at 51% to 53%, so 180 registrants may mean 92 to 95 people in the room (calculated).

Free is enough when all four apply:

- Registrations stay at or under 100 per event.
- An Amphi address and the Amphi watermark are acceptable.
- You need no archive mode after the series ends.
- Community support and 1 GB of event files are enough.

Amphi lists Free "for education, enthusiasts, and small business events". On Premium Webinar, more than 12 episodes a year needs a new event, and more talks a day than the plan allows needs Enterprise. When a Premium Webinar licence expires, the whole event moves to archive mode, and that switch is irreversible; the discounted annual bundle exists for Premium Conference only. See [how recurring billing works in Amphi](https://www.amphi.cc/en/features/guides#recurring-billing).

## Do you need to pay for a separate streaming tool?

Usually not, because most organisations already have one. YouTube's live streaming requirements list a verified channel and no live streaming restrictions in the past 90 days, but no fee. Vimeo requires an Advanced or Enterprise plan to stream live; Advanced lists at USD 75 per seat per month with 2 concurrent streams, 100 registrations per event and 2 hours of live automated captions.

Microsoft says Teams Enterprise organisers can host up to 1,000 attendees with microphones, cameras and chat, or up to 10,000 in a view-only experience. If your company already pays for Teams or Zoom, one more webinar adds no licence cost.

Amphi can stream the webinar itself: Premium Webinar includes 2,500 video hours a month, one video hour being one hour of video to one viewer. It can also embed a player from YouTube, Vimeo, Teams, Zoom, Google Meet or any iframe, which consumes no video hours. Recordings can be uploaded into the session after the broadcast. [YouTube, Vimeo and SlidesLive for conference streaming](https://www.amphi.cc/en/blog/youtube-vimeo-slideslive-conference-streaming) covers the trade-offs between providers.

## What do production, captions, speakers and promotion add?

Production, captions, speakers and promotion add between nothing and several hundred euros per webinar, depending on whether you buy services or use your own staff. A presenter with a laptop and headset needs no crew.

A hired crew is priced per day, not per webinar hour. Bectu's 2025/26 London guidance gives GBP 350 to 400 for a corporate video technician per 10-hour day, excluding travel, meals and accommodation, and lists no half-day rate, so a one-hour webinar with a hired technician still costs a full day. For crew and caption costs at multi-room events, see [what a hybrid conference costs](https://www.amphi.cc/en/blog/hybrid-conference-cost).

Captions cost nothing to USD 150 per hour. Zoom lists live transcription for webinars, and Webex states "closed captions and translation included" for Webex Webinars. YouTube's live automatic captions are English only and do not remain on the video after the stream. 3Play Media lists live automatic captions at USD 0.60 per minute and live professional captions at USD 2.50 per minute. Amphi's pricing page lists no captioning, so captions come from your stream tool or a captioning service.

An internal speaker costs working time. At the EU average of EUR 34.9 per hour, 8 hours of preparation plus 1 hour on stage cost EUR 314 (calculated; the 8 hours are our assumption).

An external speaker is paid per session. Speaker Agency, a UK bureau, puts entry-level keynote fees at GBP 1,000 to 3,000 and webinars at 40% to 60% of a keynote fee. That gives GBP 400 to 1,800 per webinar plus VAT (calculated; checked 15 October 2026).

Internal series need no paid promotion. For external webinars, LinkedIn requires at least USD 10 a day and USD 100 in lifetime budget for a new campaign; these are minimums, not typical spend. Email invitations are included on both Amphi plans. At ON24's 51% to 53% conversion, 100 attendees need about 189 to 196 registrants (calculated), and on Amphi all of them count towards the plan limit.

## One-off webinar vs a 12-episode internal series: what is the total?

A one-off external webinar for up to 100 registrants can cost USD 136 to 250 in cash without a hired crew, while a 12-episode internal series for 150 employees costs EUR 4,500 a year in platform fees and over EUR 60,000 in staff time (all calculated). Both scenarios assume 60-minute episodes; rows are not totalled because they mix currencies.

| Cost line | One-off external webinar, up to 100 registrants | 12-episode internal series, 150 employees | Basis |
| --- | --- | --- | --- |
| Platform | EUR 0 (Amphi Free) | EUR 4,500 a year (12 monthly Premium Webinar licences; no annual webinar plan, calculated) | Amphi |
| Streaming tool | USD 0 (YouTube) | EUR 0 (existing Teams or Zoom, our assumption) | YouTube |
| Live captions, automatic to professional | USD 36 to 150 | USD 432 to 1,800 | 3Play Media |
| Hired video technician | GBP 350 to 400, or in-house | GBP 4,200 to 4,800 for 12 days (calculated), or in-house | Bectu |
| Promotion | from USD 100 (LinkedIn) | EUR 0 (internal email) | LinkedIn |
| Speaker time, 9 hours per episode | EUR 314 | EUR 3,769 | Eurostat |
| Attendee time | not your cost | EUR 5,235 per episode, EUR 62,820 a year | Eurostat |

The series platform cost is EUR 2.50 per employee per episode. Livestorm charges EUR 2.50 per credit, one credit per unique participant per session, so the same series would use 1,800 credits, or EUR 4,500, if everyone attended every episode; Livestorm does not charge registrants who do not attend. With 250 registrants on Amphi, 70 extra attendees add EUR 7 a month. All figures in this paragraph are calculated. For format choices in training programmes, see [internal webinars and online training](https://www.amphi.cc/en/blog/internal-webinars-online-training).

## Why do published webinar cost estimates disagree?

Published estimates disagree because they count different lines and rarely show a method. Demio's blog says "the average webinar investment ranges from $3,000 to $5,000 but can be as cheap as $500", linking to a MyOwnConference blog post as its source. Digital Samba's blog puts platforms at less than USD 100 to over USD 500, promotion at 40% to 60% of the budget and external speakers at "a couple of thousand dollars to tens of thousands", without citing sources.

Build your own budget in five steps:

1. Count expected registrants and check how the platform counts them.
2. List what you already pay for: Teams, Zoom, YouTube.
3. Decide who produces: an in-house presenter or a day-rate crew.
4. Price captions per minute and promotion per campaign.
5. For internal webinars, multiply attendees by hours by hourly labour cost.

If your plan grows into several parallel talks a day, compare the two formats in [webinar vs virtual conference](https://www.amphi.cc/en/blog/webinar-vs-virtual-conference).

## Frequently asked questions

### How much does it cost to host a webinar?

Platform fees run from zero on free plans for up to 100 attendees to EUR 375 a month excl. VAT on Amphi Premium Webinar or USD 89 a month billed monthly on Zoom Webinars. Captions, crew, promotion and staff time come on top.

### Is there a free webinar platform for internal training?

Amphi Free covers up to 100 attendees with unlimited webinar episodes and community support, but no custom domain or archive mode. Every registrant counts towards the 100, attended or not.

### How much should I budget for a monthly webinar series?

For 12 monthly episodes with up to 180 registrants, Amphi Premium Webinar comes to EUR 4,500 a year excl. VAT if the licence stays active all year (calculated). Add USD 432 to 1,800 for live captions, plus staff time.

### Do no-shows count towards webinar attendee limits?

On Amphi, yes: every registered user who is not blocked counts, attended or not. Livestorm does not charge registrants who do not attend. Zoom allows unlimited registrations for unpaid webinars, but plan capacity caps who can join.

### Are captions included in webinar platforms?

Sometimes. Zoom lists live transcription for webinars and Webex Webinars includes closed captions; YouTube's live automatic captions are English only. Otherwise, 3Play Media lists live captions at USD 0.60 to 2.50 per minute.
