# Internal Webinars and Online Training: How to Run Them Step by Step

An internal webinar is a scheduled online session open only to employees. To run training this way, choose the format by how much interaction you need, limit access to staff, publish the recording for those who missed it and plan sessions as a series. A Microsoft Teams meeting holds up to 1,000 interactive participants on Enterprise plans.

## Key points

- Employees used 16.7 hours of formal learning on average in 2025, up from 13.7 hours in 2024, across 340 organisations in ATD's 2026 report.
- Nearly 60 percent of organisations used live, instructor-led virtual classrooms in 2024, according to ATD.
- Teams meetings have no registration; Teams events support registration for up to 1,000 attendees.
- Teams meeting recordings expire 120 days after creation by default, and external participants get no link unless the organiser shares it.
- WCAG 2.2 requires captions for live audio at Level AA and for prerecorded audio at Level A.

## What is an internal webinar, and when is it the right format for training?

An internal webinar is a scheduled online session for employees only, in which a presenter teaches a defined group and the session is usually recorded for those who cannot attend. It suits knowledge that one expert passes to many people; skills that need practice in small groups need an online workshop instead.

Both large vendors draw the line by interaction. Microsoft says meetings are best "where participants need to interact with each other via voice, video, or chat and where multiple people might be presenting" [\[6\]](#source-6). Zoom describes meetings as "collaborative, two-way conversations" and webinars as "one-to-many broadcasting" [\[11\]](#source-11).

| Training need | Format | Typical example |
| --- | --- | --- |
| An expert explains, staff ask questions | Webinar | Product update, compliance briefing, technical seminar |
| Staff practise or discuss | Online workshop (meeting) | Software hands-on, feedback skills |
| Leadership addresses the whole company | Town hall | Quarterly all-hands |
| Staff need the content again later | Recording in an on-demand library | Onboarding, policy training |

Live online delivery is standard in corporate learning: nearly 60 percent of organisations used live, instructor-led virtual classrooms in 2024 [\[13\]](#source-13). For the difference between a webinar series and a multi-track event, see [webinar vs virtual conference](https://www.amphi.cc/en/blog/webinar-vs-virtual-conference).

## Teams meeting, Teams event or Zoom: which format fits an internal session?

Use a meeting when attendees need to talk, a webinar-type event when you need registration and moderated Q&A for up to 1,000 people, and a town hall when the audience is the whole company. Most internal training fits the first two.

| Microsoft Teams format | Interactive participants (people) | Larger audience (people) | Registration (attendees) |
| --- | --- | --- | --- |
| Meeting | 1,000 on Enterprise plans; 300 on Business plans [5] | Up to 10,000 view-only, Enterprise plans only [5] | Not available [5] |
| Webinar (event) | Up to 1,000 [6] | Not applicable | Up to 1,000 [5] |
| Town hall (event) | Broadcast-style [6] | 10,000 view-only; up to 100,000 with Attendee Capacity Pack [5] | Only in events up to 1,000 [5] |

Teams events support Q&A for up to 100,000 attendees and polls for up to 20,000 [\[5\]](#source-5).

Zoom prices as listed on zoom.us, checked 15 October 2026 [\[10\]](#source-10). Zoom says Zoom Webinars can support up to 100,000 attendees; the entry plans on its product page cover up to 500 [\[11\]](#source-11).

Decision rules:

- Up to 300 people who need to speak: a meeting. Teams Business and Zoom Business both cap meetings at 300 [\[5\]](#source-5), [\[10\]](#source-10).
- Registration and moderated Q&A for up to 1,000: a Teams webinar or Zoom Webinars.
- The whole company, over 1,000: a Teams town hall.
- Sessions over 40 minutes: not Zoom Basic.

## How do you run an internal webinar step by step?

To run an internal webinar, set one learning goal, pick the format, invite a defined list of employees, caption and record the session, publish the recording the same day and collect feedback.

1. Set one goal and one audience, including whether attendance is mandatory.
2. Pick the format by interaction and audience size (see the previous section).
3. Plan a series, not a one-off: a fixed slot and the topics for the quarter.
4. Build the invite list from your HR system or team lists rather than an open link.
5. Set access for the session and the recording (next section).
6. Send the invitation, a reminder and joining details shortly before the start.
7. Prepare captions. WCAG 2.2 requires captions for live audio at Level AA and for prerecorded audio at Level A [\[14\]](#source-14).
8. Run it with two people: a presenter and a moderator for questions. A Teams recording ends at four hours or 1.5 GB and restarts automatically [\[5\]](#source-5).
9. Publish the recording on the page where the series lives, with captions and slides.
10. Collect feedback and attendance within a day, then plan the next session.

## How do you keep internal training for employees only?

Internal training stays internal only if you control who receives the invitation, who can open the live session and who can open the recording. A closed session with a widely shared recording link is not closed.

Teams defaults already separate staff from guests. A recording of a non-channel meeting saves to the organiser's OneDrive, and all invitees except external participants get a personal link [\[8\]](#source-8). Other attendees from the organiser's organisation have read access but no sharing or download permissions; channel meeting recordings go to a Recordings folder in the team's SharePoint site [\[8\]](#source-8). Contractors outside your tenant therefore need the recording shared explicitly, and Microsoft recommends sharing with the "People in your organisation" option so recipients must sign in [\[8\]](#source-8).

| Control point | Risk | Control |
| --- | --- | --- |
| Invitation | Link forwarded outside the target group | Invite from a list; turn off open registration |
| Live session | Anyone with the link joins | Require sign-in with company accounts where the tool allows it |
| Recording | Public or unlisted video link | Keep the file in the company tenant or behind sign-in |

Sign-in with company accounts (single sign-on) is the strongest control. Ask each vendor in writing which plan includes it.

## What happens for employees who miss the live session?

Employees who miss a live session should find the captioned recording in one predictable place within a day and for as long as the training stays valid. Provider defaults can undo this: Teams meeting recordings expire 120 days after creation unless your Teams administrator changes the default [\[7\]](#source-7).

Decision rules:

- One page per series listing every session with its recording, slides and date.
- **Retention follows the training, not the tool.** Onboarding and policy training often stay valid longer than 120 days; agree a longer default with IT, or store those recordings elsewhere.
- **Caption every recording.** Success criterion 1.2.2 (Level A) covers prerecorded audio in synchronised media [\[14\]](#source-14).
- **Split long sessions.** A half-day training in Teams produces more than one recording after four hours or 1.5 GB [\[5\]](#source-5); publish the parts in order.

For provider-by-provider retention and access settings, see [what to do with recordings after the event](https://www.amphi.cc/en/blog/conference-recordings-after-event).

## How do you measure whether internal training worked?

Measure internal training at three levels: who attended, what attendees thought and whether they apply it. Video tools cover attendance, a short survey covers opinions, and application needs a manager check-in or an LMS assessment.

| Level | Question | Data source |
| --- | --- | --- |
| Attendance | Who joined, and when did they join and leave? | Teams attendance report (CSV) [9] |
| Engagement | Did people ask and answer? | Teams event Q&A and polls [5] , chat |
| Reaction | Was it useful? | Survey sent within a day |
| Application | Do people use it at work? | Manager check-in, LMS assessment |

Only organisers and co-organisers can view and download Teams attendance reports, and if the organiser leaves the organisation, the reports are permanently deleted [\[9\]](#source-9). For mandatory training, download the CSV after each session and store it with HR records.

Report learning hours, the unit industry benchmarks use. A 90-minute session attended by 120 employees delivers 180 learning hours (calculated). ATD's benchmark is 16.7 formal learning hours per employee in 2025, with direct learning expenditure of USD 846 per employee [\[12\]](#source-12).

## Where does Amphi fit next to Teams or Zoom, and what does it cost?

Amphi is a conference platform that works as the hub around Teams or Zoom: it holds the agenda, registration, reminders, access rules and recordings for a training series, and either streams the video itself or embeds it from the provider you already use [\[1\]](#source-1), [\[3\]](#source-3).

On Amphi, a lecture embeds a Teams, Zoom or YouTube stream, and a workshop puts a join link to the call in the session description; Amphi itself runs in any modern browser [\[1\]](#source-1), [\[3\]](#source-3). For a staff-only series, turn off open registration in Amphi, import a list of employees and send invitations, which keep working [\[1\]](#source-1); see [registration and invitations](https://www.amphi.cc/en/features/guides#registration). Each talk can be Public, Visitors only or Only those registered for the talk [\[1\]](#source-1); on Premium Webinar, video in talks is signed-in only [\[2\]](#source-2). Attendees can tag themselves via chat, and you can export a tag or send feedback requests to it [\[1\]](#source-1).

On Premium plans you can upload recordings straight into each session, so the series archive lives next to its agenda [\[1\]](#source-1). What Amphi does not do: run polls. Its guides document no quizzes, certificates or attendance export; they show who registered and who has not [\[1\]](#source-1). The documented sign-in is Google OAuth [\[3\]](#source-3); integration with a company identity system is documented only for ICZ, an Enterprise customer [\[4\]](#source-4).

| Plan with Amphi | Price excl. VAT (EUR) | Attendees included (people) | Series limits |
| --- | --- | --- | --- |
| Free | 0 | Up to 100 | 2 talks per day; no archive mode [2] |
| Premium Webinar | 375 per month; 4,500 per 12 months (calculated) | 180, then EUR 0.10 per extra attendee | Max 12 episodes a year, max 2 talks per day [2] |
| Enterprise | Custom | Unlimited, custom limits available | Agreed individually [2] |

ICZ, a Czech IT group with thousands of employees, runs internal training and technical seminars on Amphi and has delivered dozens of events [\[4\]](#source-4). ICZ is an Enterprise customer: integration with its identity management, dedicated infrastructure and priority support are part of that plan, not standard Premium Webinar features [\[4\]](#source-4). ## Frequently asked questions

### Can I use Microsoft Teams for internal training webinars?

Yes. A Teams meeting fits 300 interactive participants on Business plans and 1,000 on Enterprise plans, but has no registration. For registration and moderated Q&A, use a Teams webinar, which supports registration for up to 1,000 attendees.

### How long are Teams meeting recordings kept?

By default, 120 days after creation, unless your Teams administrator changes the default. Recordings of non-channel meetings are saved to the organiser's OneDrive. Agree a longer default with IT for training recordings that stay valid for longer.

### How do I share a training recording with employees who missed it?

Publish it on one page per training series, with captions and slides. In Teams, invitees get a link automatically, other attendees from your organisation get read access, and external participants get nothing unless the organiser shares it.

### Do internal training webinars need captions?

If your organisation follows WCAG 2.2, yes: captions for live audio are required at Level AA and for prerecorded audio at Level A. Caption the live session where your tool allows it, and every recording you publish.

### How much does an internal webinar series cost?

Zoom Pro costs USD 14.16 per user per month billed annually (checked 15 October 2026). With Amphi, Premium Webinar costs EUR 375 per month excl. VAT for up to 12 episodes a year, EUR 4,500 for 12 months (calculated).
