# How Much Does a Hybrid Conference Cost? What the Online Layer Adds

Adding an online audience to an in-person conference costs USD 2,000 to 10,000 per day for streaming production from a US AV partner (2021 figures), or GBP 350 to 500 per crew member per day in London, before venue internet, platform and captions. In our calculated two-day scenarios, production crew and professional captions each cost more than the platform.

## Key points

- A US AV partner priced streaming at USD 2,000 per day for an encoding technician and USD 8,000 to 10,000 for three cameras with operators (2021), before in-room AV.
- Bectu's 2025/26 London corporate rates run from GBP 350 to GBP 500 per person per 10-hour day, excluding travel, meals and accommodation.
- Professional live captioning lists at USD 2.50 per minute, which is USD 150 per session hour (calculated).
- At the American Association of Geographers' 2024 meeting, virtual services took 18% of costs and brought 9% of revenue.
- Two European congresses in 2026 set virtual member fees at 46% to 66% of the in-person fee (calculated).

## What does the online layer of a hybrid conference cost, line by line?

The online layer of a hybrid conference is every cost you add so that people who are not in the room can watch, hear and take part: production crew and equipment, venue internet, a streaming service, an event platform, captioning or interpretation, and people who look after remote attendees and speakers. The American Association of Geographers (AAG) splits these costs into technology and labour and notes that "both on- and offsite IT assistance is needed".

The figures below come from different years and regions, mostly the US and UK, so test them against local quotes. External prices checked 13 October 2026; ExCeL London checked 15 October 2026.

## How much does live streaming production cost per day?

Live streaming production costs from USD 2,000 per day for one encoding technician to USD 8,000 to 10,000 per day for a three-camera crew, according to US examples from AV partner Meeting Tomorrow published on the Webex Events blog in 2021. An encoding technician is the person who turns camera and audio signals into a stream. The rates exclude in-room AV such as speakers and lighting.

| Setup (US, 2021 figures) | Price per day (USD) |
| --- | --- |
| Encoding technician only | 2,000 |
| One camera with operator and encoding technician | 4,000 |
| Three cameras with operators and encoding technician | 8,000 to 10,000 |

For London freelancers, Bectu's 2025/26 guidance for corporate work gives an aspirational "ask for" rate and a professional minimum per 10-hour day. These are guidance rates, not agreed with employers.

| Role (London, corporate) | Ask-for rate (GBP per day) | Professional minimum (GBP per day) |
| --- | --- | --- |
| Camera operator | 380 | 360 |
| Video technician | 400 | 350 |
| Sound technician | 400 to 450 | 350 |
| Production manager | 500 | 400 |

A three-person crew of camera operator, video technician and sound technician costs GBP 1,060 to 1,230 per day (calculated), excluding equipment, travel and meals.

Smaller events can skip the crew. The SIGCHI guide for organisers prices a laptop at about USD 700, a wireless microphone set at about USD 300, a video mixer or capture card below USD 600, a sound mixer below USD 300 and cables below USD 100, which adds up to under USD 2,000 (calculated). It budgets about 20 volunteer hours for planning, setup and rehearsal, plus two student volunteers: one for the room and one for the Zoom setup.

## What do venue internet and the streaming service add?

Venue internet for streaming can be a separate charge priced by bandwidth: the San Jose McEnery Convention Center's exhibitor rate sheet, one US venue and not a market average, lists dedicated connections with equal upload and download speeds from USD 800 to USD 5,000. Prices checked 13 October 2026.

| Dedicated bandwidth | Incentive (USD) | Base (USD) | On-site order (USD) |
| --- | --- | --- | --- |
| 5 Mbps | 800 | 1,000 | 1,200 |
| 10 Mbps | 1,800 | 2,500 | 3,500 |
| 50 Mbps | 3,000 | 4,000 | 5,000 |

Taxes and cable runs (for example USD 250 per cable run) come on top.

A European example is ExCeL London, one venue and not a market average. Its 2026 conference rate card prices a wired connection per event, and the price rises the later you book. Tax is applied to all internet services. Prices checked 15 October 2026.

| Wired LAN, private IP (London, 2026) | Booked 28+ days ahead (GBP) | Booked up to 14 days ahead (GBP) | Booked within 7 days (GBP) |
| --- | --- | --- | --- |
| 5 Mbps | 1,750 | 2,100 | 2,520 |
| 10 Mbps | 3,213 | 3,856 | 4,627 |

The streaming service itself can cost nothing or a per-seat licence. YouTube's live streaming requirements page lists channel verification and no live streaming restrictions in the past 90 days, but no fee. Vimeo requires an Advanced or Enterprise plan to stream live; Advanced lists at USD 75 per seat per month with two concurrent streams, 100 attendee registrations per event and two hours of live automated captioning. Microsoft says Teams Enterprise hosts events of up to 10,000 attendees in a view-only experience, and an Attendee Capacity Pack add-on scales events to 100,000. Teams Premium, the add-on licence for premium event features, lists at USD 10.00 per user per month, paid yearly. Prices checked 13 October 2026.

## How much does an event platform add for the online audience?

An event platform is the site where online attendees find the agenda, watch sessions and talk to each other. Published entry prices below run from EUR 2.50 per attendee credit to USD 7,500 for a single event, before add-ons. Prices checked 13 October 2026; Amphi prices excl. VAT.

| Platform and plan | Published price | Billing unit | Attendee terms |
| --- | --- | --- | --- |
| Amphi Premium Conference | EUR 1,050 | per conference | 1,000 included, EUR 0.10 per extra attendee |
| Amphi Premium Conference, annual subscription | EUR 4,150 | per year, up to 50 conferences | same terms and limits as a single conference: 1,000 included per conference, EUR 0.10 per extra attendee |
| Livestorm Pro | EUR 2.50 | per attendee credit, yearly pack | one credit per unique participant per session |
| Airmeet Brand Conference (managed) | from USD 4,999 | per event, quoted | from 100, scalable to 10,000; extra attendees billed after the event |
| Accelevents Professional | from USD 7,500 | one event | virtual functionality is a paid add-on, price not published |

With Amphi, the platform line is known in advance: 1,000 attendees on Premium Conference cost EUR 1.05 each, and 1,500 attendees cost EUR 1,100 in total. From four conferences a year, the annual subscription is cheaper (4 × 1,050 = 4,200). All three figures are calculated.

Amphi can deliver the stream itself, within the plan's video hours, or embed one from YouTube, Vimeo, Teams, Zoom, Google Meet or any iframe, which consumes no video hours. Neither replaces the crew in the room, which stays a separate budget line. See how [video streaming works on Amphi](https://www.amphi.cc/en/features/guides#video-streaming).

## What do captioning and interpretation add?

Captioning adds USD 36 to 150 per session hour at 3Play Media's list prices (calculated from USD 0.60 per minute for live auto captioning and USD 2.50 per minute for live professional captioning). The SIGCHI guide calls captioning "a basic requirement for accessible hybrid experiences". For one room streamed 7 hours a day over two days, that is USD 504 for automatic or USD 2,100 for professional captions (calculated). Vimeo Advanced includes two hours of live automated captioning.

Simultaneous interpretation is spoken translation delivered while the speaker talks, and it is priced per interpreter per day. One public benchmark is the UN system's rates for short-term conference interpreters, effective 1 July to 31 December 2026:

| Location | Group I rate (per interpreter per day) | Group II rate (per interpreter per day) |
| --- | --- | --- |
| Austria | EUR 653 | EUR 435 |
| France | EUR 667 | EUR 445 |
| United Kingdom | GBP 643 | GBP 429 |
| Rest of world | USD 702 | USD 468 |

These are UN-system rates, not market rates; ask your agency how many interpreters each language needs.

## What does the online layer cost for a single-track versus a multi-track conference?

A multi-track hybrid conference multiplies most online costs by the number of streamed rooms, while a per-conference platform fee changes only with attendee numbers. The scenarios assume two days with 7 streamed hours per room daily, and that only online attendees register on Amphi. Amphi counts every registered attendee except admins and speakers, so in-person attendees who register count too. Every figure is calculated, and rows are not totalled because they mix currencies, years and regions.

| Cost line | One room, 300 online attendees | Three parallel rooms, 1,500 online attendees | Basis |
| --- | --- | --- | --- |
| Crew, London freelance (3 people per room) | GBP 2,120 to 2,460 | GBP 6,360 to 7,380 | Bectu minimum to ask-for |
| Or AV partner, one camera plus encoding (US) | USD 8,000 | USD 24,000 | Webex Events blog |
| Dedicated venue internet (San Jose) | USD 1,800 to 3,500 (10 Mbps) | USD 3,000 to 5,000 (50 Mbps) | Team San Jose; bandwidth choice is our assumption |
| Platform with Amphi Premium Conference | EUR 1,050 | EUR 1,100 | Amphi pricing |
| Automatic live captions | USD 504 | USD 1,512 | 3Play Media |
| Professional live captions | USD 2,100 | USD 6,300 | 3Play Media |

Innovation Week has run on Amphi for five editions, in formats including hybrid with parallel streams. Its on-site AV and stream production can run to several hundred thousand Czech crowns per edition, against a platform fee in the low thousands of euros. ## How should you price virtual tickets against in-person tickets?

In the published examples below, virtual tickets cost 36% to 66% of the in-person fee (calculated). AMI magazine quotes Jennifer Jenkins of Worldspan saying that, without added value, "you can't go much higher than about a third" of the in-person price, while Ioannis Pallas of ESAE reports association CEOs arguing that "the price should be the same for both in person and online participation".

| Event | Virtual fee | In-person fee | Virtual as share of in-person (calculated) |
| --- | --- | --- | --- |
| ECNP Congress 2026, Munich, members, excl. VAT | EUR 455 | EUR 690 to 990 | 46% to 66% |
| Euroanaesthesia 2026, Rotterdam, active members, excl. VAT | EUR 405 | EUR 670 to 780 | 52% to 60% |
| WCSS 22 (AMI magazine, undated) | GBP 250 | GBP 700 average | about 36% |

The AAG's numbers show the risk. In 2023, virtual services were 24% of meeting costs but brought 12% of revenue; in 2024 the split was 18% against 9%. The AAG concludes that registrations for the virtual option cover roughly half of its costs.

A practical rule: divide your online cost lines by the expected online audience and treat the result as the floor for a full-cost virtual ticket. For the wider platform decision, see [how to choose a conference platform](https://www.amphi.cc/en/blog/how-to-choose-conference-platform).

## Frequently asked questions

### How much does it cost to live stream a conference?

A US AV partner quoted USD 2,000 per day for an encoding technician and USD 4,000 per day with one camera operator (2021 figures). In London, Bectu's 2025/26 corporate crew rates run GBP 350 to 500 per person per 10-hour day, excluding travel and meals.

### How much should a virtual conference ticket cost?

Guidance quoted in AMI magazine puts online at about one third of the in-person price without added value, while association CEOs cited by ESAE argued for the same price. Two 2026 European congresses set virtual member fees at 46% to 66% of in-person fees (calculated).

### Do I need a professional crew to stream a conference?

Not always. The SIGCHI guide describes a volunteer setup with equipment under USD 2,000 (calculated) and about 20 hours of planning, setup and rehearsal. It puts external providers at USD 8,000 to 10,000 per conference.

### Do virtual tickets cover the cost of a hybrid conference's online layer?

Often not. At the AAG's 2024 annual meeting, virtual registrations brought 9% of revenue against 18% of costs, and the AAG says virtual registrations cover roughly half of the virtual option's cost.

### Does Amphi charge for streaming video?

Streaming through Amphi is included in the plan up to its video hours: 5,000 per Premium Conference, where one video hour is one hour of video to one viewer. Embedded streams from YouTube, Vimeo, Teams, Zoom or any iframe consume none. Either way you pay the plan price, such as EUR 1,050 per conference excl. VAT.
